Terms of Sale

Clear terms for orders large and small: pricing, delivery, import handling, accreditation documentation, and what happens when something needs to be sorted out.

Scope and acceptance

These Terms of Sale apply to products and services supplied by Botshop (“Botshop”, “we”, “us”) to business customers, institutions, implementers, educators, and other purchasers (“you”, “customer”). They apply when you place an order with us directly, including quotes, purchase orders, and tender awards.

Purchases through authorised retail partners such as Rebel Glitch may be subject to the partner’s terms in addition to product warranty provisions below. Where a written quote or signed agreement conflicts with these terms, the written agreement prevails.

An order is accepted when we issue written order confirmation or commence fulfilment, whichever occurs first.

Products and specifications

Botshop supplies accredited AI-robotics platforms, Add-Ons, documentation, and related services. Product descriptions, datasheets, and certification summaries on our website and in tender packs are prepared in good faith but are not exhaustive specifications.

We may improve hardware revisions, firmware, or packaging without notice provided that functionality and stated accreditation align with the confirmed order. Material changes affecting a confirmed bulk or tender order will be communicated before shipment where practicable.

Pricing and payment

Prices are quoted in South African Rand unless otherwise stated and may exclude VAT, shipping, insurance, customs duties, and import charges unless explicitly included.

  • Quotes are valid for the period stated on the quote, or 30 days if none is specified.
  • Payment terms are due on invoice unless credit has been approved in writing.
  • For bulk and institutional orders, we may require a deposit, progress payment, or letter of credit before import and release.
  • Late payment may attract interest at the maximum rate permitted by law and suspension of further deliveries.

Bulk, tender, and institutional orders

10+ years in bulk import & supply. We specialise in import and supply for government tenders, university stock, and institutional rollouts.

For tender and procurement orders you agree to:

  • Provide accurate delivery instructions, end-user details, and compliance references required for import and invoicing.
  • Review accreditation and specification documentation promptly and raise discrepancies before acceptance.
  • Accept that lead times depend on stock availability, manufacturing schedules, and customs clearance — we will communicate material delays.

We provide tender-support documentation including specification sheets and accreditation summaries appropriate to the products ordered. Final compliance with a specific tender clause remains the customer’s responsibility to verify against published requirements.

Delivery and risk

Delivery dates are estimates unless guaranteed in writing. Incoterms and risk transfer are as stated on the order confirmation. Unless agreed otherwise, risk passes to you upon delivery to the carrier or your nominated address in South Africa.

You must inspect shipments on receipt and notify us of visible damage or quantity discrepancies within five business days. Concealed damage must be reported within a reasonable time after discovery.

Knowledge and documentation

Botshop products include knowledge out-of-the-box: manuals, code libraries, MCP servers, and learning resources as described for each product line. Access methods (physical media, download links, or portal credentials) are provided at or after delivery.

Documentation licences are for use with purchased hardware and associated educational or project deployments. Redistribution or commercial republication requires written permission.

Returns and cancellations

Cancellation of standard stock orders may be accepted before dispatch; custom-configured, imported, or tender-specific batches may be non-cancellable once production or import has commenced.

Returns for change-of-mind are not accepted on opened electronic goods unless required by mandatory consumer law. Arrival faults (dead on arrival, transit damage) are handled under our Arrival Guarantee & Returns policy.

Arrival guarantee

Hardware is covered by our out-of-box guarantee: we replace or exchange units that arrive non-functional, shipping-damaged, or incorrectly packed. Post-use refunds and open-ended hardware warranties do not apply once a working unit has been unboxed and building has begun — see our Arrival Guarantee & Returns policy for full detail and ongoing support.

Liability

To the extent permitted by law, Botshop’s liability for any single order is limited to the price paid for the affected products. We are not liable for indirect or consequential loss including project delays, lost tender opportunities, or data loss, except where liability cannot be excluded by law.

You are responsible for safe installation, supervision in educational environments, network security, and compliance with local regulations governing robotics and IoT deployments.

Personal information

We process personal and institutional data in accordance with our Privacy Policy and POPIA for order fulfilment, support, and compliance.

Governing law

These Terms of Sale are governed by the laws of the Republic of South Africa.
